Terms of Service

1. Agreement to Terms

By accessing or using the RcruitLync application ("App"), website at rcruitlync.com and app.rcruitlync.com ("Site"), and related recruiting services (collectively, "Services"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, please do not access or use our Services.

These Terms constitute a legally binding agreement between you and RcruitLync, LLC ("RcruitLync," "we," "us," or "our"). If you are under 18 years of age, your parent or legal guardian must review and agree to these Terms on your behalf before you use the Services.

2. Description of Service

RcruitLync provides AI-powered recruiting preparation and college connection software for high school student-athletes, their parents/guardians, and college coaches. Our Services include, but are not limited to:

  • Recruiting profile building with athletic metrics, academic records, film links, and coach references.
  • AI-powered voice and text mock interviews with personalized feedback and scouting evaluations.
  • Automated recruiting email and text message generators with AI-powered reply assistance.
  • College coach and school database matching and discovery tools.
  • Email outreach streak tracking with optional BCC copy verification.
  • Public profile sharing via unique links and QR codes.
  • Financial fit estimator tools for college cost evaluation.
  • Parent/guardian dashboard with read-only access to athlete progress.
  • College coach discovery portal for verified coaching staff to search and evaluate athletes.
  • 1-on-1 recruiting strategy sessions with platform advisors.

3. Account Registration & Eligibility

To use the Services, you must:

  • Be at least 13 years of age. Users under 18 must have parental or guardian consent.
  • Provide accurate, current, and complete information during registration and keep your account information updated.
  • Maintain the security and confidentiality of your login credentials. You are responsible for all activity under your account.
  • Promptly notify us at coachdrew@rcruitlync.com if you suspect unauthorized access to your account.

We reserve the right to suspend or terminate accounts that violate these Terms, contain fraudulent information, or pose a security risk to the Platform.

4. User Profiles & Content License

By entering your athletic metrics, academic scores (GPA, SAT/ACT), NCAA Eligibility ID, video links (Hudl, GameChanger, Google Drive), coach reference details, profile photos, and other recruiting content into RcruitLync:

  • You grant RcruitLync a non-exclusive, worldwide, royalty-free license to host, display, format, and transmit your profile for: (a) public share links and QR codes when public sharing is enabled, (b) the verified college coach discovery portal, and (c) platform advisor profile audits during coaching sessions.
  • You represent and warrant that all athletic statistics, academic records, coach reference details, and film links submitted are accurate, truthful, and do not infringe on any third party's intellectual property or privacy rights.
  • You retain full ownership of your user content and may edit, update, or delete your profile information at any time through your Account Settings.
  • Upon account deletion, the license granted above terminates, and we will remove your content in accordance with our Privacy Policy data retention schedule.

5. Email Outreach & Communications

When utilizing our AI Outreach Generator, email reply assistant, or email tracking features:

  • AI-Generated Content: You acknowledge that recruiting emails, text templates, and reply suggestions are generated by artificial intelligence. You are solely responsible for reviewing, editing, and approving all communications before sending them to college coaches or other recipients.
  • Outreach Logging: You authorize RcruitLync to log your outreach activity - including target school lists, recipient coach names, timestamps, and outreach status - to compute activity streaks, display progress metrics, and award recruiting milestones.
  • BCC Copy Tracking (Opt-In): You may opt into BCC tracking by adding our designated tracking email address to outgoing emails sent to college coaches. When enabled, we receive and store copies of those BCC'd emails to: (a) verify that outreach was actually sent, (b) maintain accurate activity streaks, and (c) allow platform advisors to review outreach quality during 1-on-1 strategy calls. BCC tracking is entirely opt-in. We do not access your personal email inbox, contacts, sent folder, or any emails not explicitly BCC'd to us.
  • Prohibited Use: You agree not to use our email tools to transmit spam, harassment, threats, obscene material, or unauthorized promotional content to college staff, fellow athletes, or any other recipients.

6. College Coach Accounts & Athlete Discovery

College coaching staff with verified institutional accounts may use the Platform to:

  • Search, filter, and browse student-athlete recruiting profiles based on sport, position, academic metrics, geographic location, and eligibility criteria.
  • View detailed athlete profiles including athletic statistics, academic records, film links, coach references, and contact information.
  • Bookmark, tag, and organize athletes of interest within their coaching dashboard.
  • Initiate contact with athletes through the Platform's communication features.

College coaches represent and warrant that they are authorized representatives of their institution and agree to use athlete data solely for legitimate collegiate recruiting evaluation purposes. Misuse of athlete data - including sharing it with unauthorized third parties, using it for commercial purposes unrelated to recruiting, or contacting athletes in violation of NCAA or governing body contact rules - is strictly prohibited.

7. Strategy Consulting & 1-on-1 Coaching Calls

Athletes participating in 1-on-1 strategy sessions with platform advisors consent to the following:

  • Profile Audits: Our coaching staff reviews your profile completeness - including completed milestones (target school counts, Hudl video links, GPA entries, NCAA ID) and unfulfilled items - to provide structured, actionable guidance during strategy calls.
  • Outreach Review: When BCC tracking is enabled, advisors may review your outreach emails for quality, tone, and strategy alignment.
  • Session Notes: Advisors may record notes from strategy sessions to track athlete progress and provide continuity across sessions.
  • Not a Guarantee: Strategy sessions provide educational guidance and recruiting preparation assistance. They do not constitute a guarantee of athletic scholarships, college admissions, official visits, or roster placement.

8. Subscription Plans & Billing

  • Tiered Plans: RcruitLync offers subscription tiers (Prospect, Recruit, Commit, and Team Coach) with varying feature access. Plan details and pricing are displayed on the Platform and may be updated from time to time.
  • Payment Processing: All payments are processed securely through Stripe, Inc. By subscribing, you authorize recurring charges to your payment method at the applicable subscription rate.
  • Billing Cycle: Subscriptions are billed on a recurring monthly or annual basis, depending on your selected plan. Your subscription renews automatically unless cancelled before the next billing cycle.
  • Cancellation: You may cancel your subscription at any time through your Account Settings. Upon cancellation, you retain access to paid features through the end of your current billing period. No prorated refunds are issued for partial billing periods.
  • Price Changes: We may change subscription pricing with at least 30 days' advance notice. Continued use after a price change constitutes acceptance of the new pricing.
  • Free Tier: Certain basic features may be available without a paid subscription, subject to usage limitations.

9. Acceptable Use & Regulatory Compliance

You agree not to use the Services to:

  • Violate any applicable federal, state, or local laws, or any high school athletic association rules, NCAA recruiting regulations, or other governing body rules.
  • Impersonate any college coach, high school coach, recruiter, university representative, or fellow athlete.
  • Submit false, misleading, or fraudulent athletic statistics, academic records, or personal information.
  • Scrape, data mine, or extract data from the Platform using automated tools, bots, or scripts.
  • Interfere with, disrupt, or attempt to reverse-engineer any portion of the Platform, its infrastructure, or security measures.
  • Transmit viruses, malware, or any other malicious code.
  • Use athlete profile data obtained through the Platform for purposes unrelated to legitimate collegiate recruiting.
  • Harass, threaten, or send inappropriate communications to any user of the Platform.

10. AI Generation Disclaimer

Our Services utilize artificial intelligence (powered by Google Gemini) to generate email drafts, interview feedback, scouting grades, school recommendations, and other content.

  • AI-generated outputs are advisory tools only and should not be relied upon as the sole basis for recruiting decisions.
  • You are solely responsible for reviewing, editing, and verifying all AI-generated communications before sending them to college coaches or other recipients.
  • AI scouting evaluations and grades are algorithmic assessments based on the information you provide. They do not represent the official evaluation of any college coaching staff or recruiting service.
  • We do not guarantee the accuracy, completeness, or appropriateness of any AI-generated content.

11. Recruiting Disclaimer

RcruitLync provides educational software, preparation tools, database access, and recruiting strategy guidance. RcruitLync is not a licensed recruiting agency or scout service. We do not guarantee:

  • Athletic scholarships (full or partial)
  • Official or unofficial campus visits
  • College admissions or acceptance letters
  • Roster spots or playing time
  • Responses from college coaches to outreach emails
  • NCAA eligibility determinations

Recruiting outcomes depend on many factors beyond the scope of our Services, including athletic ability, academic performance, available roster spots, coaching decisions, and institutional policies.

12. Intellectual Property

The RcruitLync name, logo, shield mark, website design, application interface, AI models, algorithms, and all related intellectual property are owned by RcruitLync, LLC and protected by applicable intellectual property laws.

You may not reproduce, distribute, modify, create derivative works from, or publicly display any RcruitLync materials without our prior written consent. Your use of the Services does not grant you any ownership interest in the Platform or its intellectual property.

13. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, RCRUITLYNC AND ITS OFFICERS, DIRECTORS, EMPLOYEES, AGENTS, AND AFFILIATES SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES - INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, SCHOLARSHIPS, RECRUITING OPPORTUNITIES, DATA, OR GOODWILL - ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF THE SERVICES.

OUR TOTAL AGGREGATE LIABILITY FOR ALL CLAIMS ARISING OUT OF OR RELATING TO THESE TERMS OR THE SERVICES SHALL NOT EXCEED THE AMOUNT YOU PAID TO RCRUITLYNC IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM.

14. Indemnification

You agree to indemnify, defend, and hold harmless RcruitLync and its officers, directors, employees, and agents from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable attorney's fees) arising out of or related to: (a) your use of the Services, (b) your violation of these Terms, (c) your violation of any third-party rights, or (d) any content you submit to the Platform.

15. Dispute Resolution

Any disputes arising out of or relating to these Terms or the Services shall first be resolved through good-faith negotiation. If the dispute cannot be resolved through negotiation within thirty (30) days, either party may pursue binding arbitration under the rules of the American Arbitration Association (AAA). Arbitration shall take place in the state where RcruitLync maintains its principal place of business.

Class Action Waiver: You agree that any dispute resolution proceedings will be conducted on an individual basis only, and not as a class action, consolidated action, or representative action.

16. Termination

We may suspend or terminate your access to the Services at any time, with or without cause, and with or without notice, including for violations of these Terms. Upon termination, your right to use the Services immediately ceases. Sections that by their nature should survive termination (including Limitation of Liability, Indemnification, Dispute Resolution, and Intellectual Property) shall survive.

You may terminate your account at any time by deleting it through Account Settings or by contacting our support team.

17. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State in which RcruitLync, LLC is organized, without regard to conflict of law principles.

18. Changes to Terms

We reserve the right to modify these Terms at any time. Material changes will be communicated via email notification to your registered account address and/or a prominent notice on the Platform at least 30 days before the changes take effect. Your continued use of the Services after the effective date of revised Terms constitutes acceptance of the changes.
